Job Description:
We are currently seeking a reliable and organized Office Admin Assistant to join our security team. This position plays a key role in supporting the daily operations of our office. The ideal candidate is bilingual (Spanish/English), professional, detail-oriented, and able to adjust to changes.
Key Responsibilities:
Manage office operations, including filing, data entry, and maintaining organized records. Utilize Microsoft Office for document creation, spreadsheet management, and presentation preparation (as needed). Manage and update guard scheduling to ensure all posts are properly staffed. Process and verify employee weekly timecards for accuracy for payroll department. Provide administrative support to office management and field staff. Communicate effectively with employees, supervisors. Provide support as a personal assistant to senior staff members as needed. Ensure a welcoming environment at the front desk, addressing inquiries and directing visitors appropriately. Answer and direct incoming phone calls in a courteous and professional manner. Collaborate with team members to streamline office processes and improve efficiency.
Requirements:
Bilingual in Spanish and English (required) Previous administrative or office assistant experience (preferred) Strong organizational and time-management skills Excellent communication skills—both verbal and written Proficient with Microsoft Office (Word, Excel, Outlook) Ability to handle confidential information with discretion Strong phone etiquette and customer support experience
