Administrative Assistant

We are seeking a highly organized and proactive Administrative Assistant to provide crucial support to our Chief Executive Officer (CEO). This is an exciting opportunity for a detail-oriented individual to contribute directly to the smooth operation of our manufacturing facility and the overall success of our growing organization.

Responsibilities:

Manage the CEO’s calendar, including scheduling meetings, and appointments with meticulous attention to detail. Prepare and edit correspondence, reports, and other documents with accuracy and efficiency. Act as a point of contact between the CEO and internal/external stakeholders, demonstrating professionalism and excellent communication skills.
Organize and maintain confidential files and records, ensuring easy access and retrieval.
Handle phone calls and emails, prioritizing and directing inquiries appropriately.
Process expense reports and invoices accurately and in a timely manner.
Assist with special projects and initiatives as needed, demonstrating flexibility and a proactive approach.
Maintain office supplies and ensure the efficient operation of the executive office.
Potentially assist with basic bookkeeping tasks using QuickBooks (a plus, but not required).

Qualifications:

Proven experience as an Administrative Assistant in a manufacturing facility
Exceptional organizational and time management skills with a strong ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills, with a professional and polished demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong attention to detail and accuracy.
Ability to handle confidential information with discretion.
A proactive and resourceful approach to problem-solving.
Familiarity with QuickBooks is a plus but not mandatory.
Compensation / Pay Rate (Up to): $20.00 – $25.00
