Full Job Description Duties:
Consist of, include, but are not limited to: a) Communication skills, attention to detail, customer-service orientation, interpersonal skills, initiative, organization and accuracy. b) Answer, log and direct telephone calls including voice-mail and taking hand-written messages. c) Handle inquiries, provide general information and greet visitors. d) Use of computer programs including: MS Word, Excel and Act. e) ACT
- enter new contacts, record activities, history, information packages and other correspondence and communications as needed.
f) Prepare information letters and product packages for mailing and/or email. g) Set-up files, prepare and maintain proposals, sales agreements, environmental permits and other correspondence as needed. h) Enter and maintain information on retort spread-sheet. i) Reference lists
- update customer lists with shipped machine information when notified by shipping department.
j) Prepare brochures and packages for conferences / conventions and mailing(s). k) Prepare operator / training manuals requested by Service Dept. Manager. l) Prepare training certificates, customer surveys and make copies for files and mail. m) Update price lists annually or as needed. n) Receive, sort, date-stamp and distribute incoming mail. o) Prepare outgoing mail p) Maintain filing systems
- file as needed (on a regular basis). q) Order office supplies, receive, stock and maintain office supply cabinet(s). r) Postage meter
- load postage and update changes as needed. s) Photocopying, faxing and scanning documents to files and email. t) Keep coffee room and reception area neat and tidy
- including end of day.
u) Make coffee as needed or requested.
