Full Job Description Job Summary:

We are seeking a Front Desk /Medical Assistant to join our medical facility. The ideal candidate will provide exceptional patient service and administrative support in a medical environment. This position is responsible for performing a variety of medical and clerical duties for the Office. Must have tolerance for LGBTQ community as this is our main patient base. As a non-profit clinical organization with the mission of creating safe spaces for LGBTQ+ communities to access health services, the ideal candidate will be well-familiarized with HIV care and prevention, sexual health, aware of behavioral health interventions, and comfortable engaging in conversations about sexual health.

Primary Job Responsibilities:

1. Greets, screens, schedules, and directs patients to exam rooms. 2. Performs clerical duties related to clinical services including medical transcription, composition, and dictation into EClinical Works EHR. 3. Prepares and processes correspondence. Answers routine medical administrative inquiries and drafts letters for physicians and other clinical staff. 4. Draws labs as needed. Phlebotomy is required. 5. Performs medical receptionist duties as necessary. Answers telephone, screens calls, takes messages, and provides information. 6. Obtains, verifies, and updates patient information and provides support services to patients and medical staff. 7. Requests, locates, sends, and receives patient medical records. 8. Maintains medical appointment books for patients, meetings, travel, etc 9. Orders office and clinical supplies. Assists in the care and maintenance of office equipment. 10. Performs other duties as assigned.

Front Desk Responsibilities:
  • Greet and assist patients and visitors in a professional and courteous manner
  • Register patients, verify insurance information, and collect co-pays
  • Schedule appointments and procedures for inpatient and outpatient services
  • Maintain patient records with accuracy and confidentiality
  • Answer phone calls, emails, and inquiries promptly and direct them to the appropriate personnel
  • Assist with medical administrative tasks and medical terminology support
MA Responsibilities:
  • You will be responsible for managing patients during exams, phlebotomy, and patient schedules.
  • You are expected to handle other duties as assigned.
Requirements:
  • Previous experience in a medical front desk role is preferred
  • Knowledge of anatomy, medical terminology, and urgent care procedures
  • Ability to handle high-pressure situations
  • Proficiency in medical administrative tasks including patient registration and insurance verification
  • Strong communication skills with the ability to interact effectively with patients, families, and medical staff
  • Detail-oriented with excellent organizational skills to manage patient records accurately
Performance Requirements:
Knowledge:

1. Knowledge of medical terminology and office procedures. 2. Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence. 3. Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.

Skills:

1. Skill in operating office and medical equipment. 2. Skill in organizational matters including time management, prioritization, and multitasking. 3. Skill in writing and communicating effectively. Excellent customer service is a must! 4. Skill in problem-solving.

Abilities:

1. Ability to learn/use other computer programs including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint. 2. Ability to read, understand, and follow oral and written instructions. 3. Ability to sort and file materials correctly using alphabetic or numeric systems. 4. Ability to communicate clearly and concisely. 5. Ability to establish and maintain effective working relationships with patients, physicians and other clinical staff, and the public. 6. Ability to competently use an EMR, as well as Microsoft Office, including Word, PowerPoint, Excel, and eClinical Works. 7. Multi-lingual is preferred.
