Position As the Program and & Operations Assistant, you will be directly contributing to The Academy’s delivery of exceptional, world-class service to our customers. Through your daily actions, you will elevate our service delivery and be a strong supporter of the overall success of the organization. The ideal candidate possesses active listening skills, a positive attitude and offers hands-on contributions to support both instructors and the Program coordinator. In addition, this person aids in the daily tasks of all departments as needed. This position directly supports Dawson Academy customers while working closely with the Program Coordinator, sales and both technical and operations teams. Your job will be both front facing and behind the scenes with our customers before, during and after events. You will be involved in many aspects of our students’ and our company’s success.
Responsible for:
Facilities Process UPS shipments for remote locations. Responsible for cleanliness and maintenance of education facilities and equipment. Program Support Assisting with program set up & breakdown. Onsite support for Instructors & Program Manager during programs. Assisting with ordering of supplies for programs as needed. Administrative support for programs including preparing all handouts, name badges, check in lists, payment due lists, course enrollment history, class list, manuals, etc. Ability to travel offsite for programs and cover programs onsite; occasional Saturdays required. Manage supply inventory for all locations. Assist in coordinating catering for programs. Customer Relations Support Building and maintaining a positive relationship with customers on behalf of the company, understanding their individual needs and servicing as needed. Backup Customer Service in answering inbound telephone calls, emails and chats and respond to customer inquiries and service requests in a professional and courteous manner. Support Customer Service resolving customer complaints quickly and efficiently and escalating when appropriate as needed. Sort mail, scan invoices, and notify the accounting department of checks received. Data entry in Salesforce, E-commerce, and setting up client access to our online learning portal as needed. Providing innovative feedback to management to continue to better the business and processes. We want you to have a voice! Qualifications Required 2+ years customer facing experience Experience in basic technical and customer support Salesforce experience a plus but not necessary Hubspot experience a plus Adobe experience a plus Strong organizational skills Team oriented and collaborative mindset Reliability is extremely important Has a high level of integrity, accuracy, dependability, enthusiasm, and confidentiality Possesses good time management, planning, and prioritization in a fast paced environment Ability to communicate clearly and professionally, both verbally and in writing Attentive to detail Pleasant, friendly attitude, with an ability to adapt to change Ability to lift up to 40lbs Proficient in Microsoft applications (Word & Excel) Experience in Google Suite Basic phone skills Willingness to learn about our products & courses A positive “Can Do” attitude and focus on customer satisfaction is mandatory Ability to support classes on some Saturdays, scheduled in advance Have high speed internet access at a home office
Schedule:
Monday to Friday, combination of work out of our St. Pete/Tampa office and occasional travel as needed. Occasional Saturday availability.
