- Construction Clearwater, FL | Full-Time | Construction Industry We’re looking for a detail-oriented, organized Project/Administrative Assistant to support our construction operations.
You’ll assist project managers, service teams, and office staff with everything from permitting and scheduling to document control and customer coordination. Key Responsibilities Pull permits, schedule inspections, and keep track of necessary construction documents (Notice of Commencements/Notice to Owners) for filing purposes Support bid coordination and change order preparation Review and process daily timesheets for field teams Handle administrative tasks: data entry, scanning, filing, mail, phones, coordinating meetings Maintain inventory and distribution of company shirts, hard-hats, etc. Equipment and tool registration Assist with collections, warranty tracking, and petty cash reconciliation Coordinate deliveries, laborers, service calls, and equipment tracking Maintain office supplies, order consumables, and assist with event planning Maintain office cleanliness Notarize documents (if not certified, certification will be part of onboarding) Keep track of important project dates to assist the admin team on filing necessary paperwork by specific deadlines Serve as a liaison and maintain communication between departments such as accounting, estimating, project management, etc. as required What You Bring 2 to 3+ years of office or administrative experience (construction preferred) High school diploma or equivalent Proficient in Microsoft Office (Word, Excel, Outlook) Strong communication, multitasking, and time management skills Ability to handle fast-paced, detail-heavy work with accuracy Reliable transportation required Benefits Paid Time Off (PTO) 401(k) Retirement Plan Health Insurance Paid Company Holidays Join a fast-paced, team-oriented environment where your organizational skills make a real impact in the field.
