On-site (Monday – Friday) Job Description This role provides essential administrative support to multiple operations front line supervisors, working primarily at operational facilities. The position involves aiding maintenance and people management activities, ensuring smooth workflow and organizational efficiency. Responsibilities Enter work order information into SAP, including emergency work orders. Manage the lifecycle of maintenance work orders. Coordinate ordered parts for maintenance activities. Organize maintenance work assignments. Submit changes to update job plans to planners and handle printing and distribution. Document and enter safety documents and standard operating procedures. Audit Kronos for attendance management, correcting missing punches, notifying supervisors of potential issues, and entering vacation/leave time. Track non-confidential employee records in Workday, including union dues, orientation, training records, qualifications, and seniority. Manage job requisitions in Workday. Enter and manage job changes/transfers in Workday. Enter and modify schedules and work rules in Kronos. Manage service awards, validating eligibility and distribution. Support new hire onboarding for IT, personal protective equipment, and orientation. Complete and manage access requests, IT requests, and cell phone requests. Essential Skills 1-3 years of administrative experience. Knowledge of maintenance and planning work. Experience in an industrial environment. Intermediate skills in Microsoft Office, SAP, Kronos, and Workday. Additional Skills & Qualifications Strong listening and comprehension skills. Ability to organize and prioritize workload. Ability to work independently. Effective interaction with various functional areas and facilities. Work Environment The work environment consists of outdated buildings in a rural setting, suitable for individuals familiar with administrative work at industrial sites and comfortable dealing with blue-collar workers. The work schedule is Monday through Friday, during normal business hours, typically from 7 AM to 4 PM or 8 AM to 5 PM. The position is initially contracted for 6 months, with a possibility of extension or transition to permanent employment.
