The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining efficient office procedures. This position requires excellent communication skills, strong time management abilities, and proficiency in various office technologies. Duties Manage and organize files and documents to ensure easy access and retrieval. Utilize Google Suite for creating, editing, and sharing documents and spreadsheets Provide administrative support to team members as needed. Answer phone calls with professionalism, demonstrating excellent phone etiquette. Assist in proofreading documents for accuracy and clarity. Maintain office supplies inventory and place orders as necessary. Schedule appointments and manage calendars for staff members. Support bilingual communication when interacting with clients or customers. Operate office equipment such as printers, copiers, and phone systems. May at times assist staff with dog handling, ex: feeding and walking Handle confidential material in a professional manner Light Office Cleaning Help clean and sanitize kennels, runs, and common areas according to established procedures and schedules.
- Monitor and maintain the cleanliness and organization of the facility, including sweeping, mopping, and removing waste.
- Ensure that all bedding and supplies are clean and available for use by the dogs.
- Perform regular inspections of the facility to identify and address any maintenance issues or safety hazards.
- Monitor inventory levels and report via email to the office manager to reorder weekly.
Animal Care:
- Assist in providing basic care and attention to boarded dogs, including feeding, watering, and administering medications as directed.
- Monitor the health and behavior of the dogs, reporting any concerns to the owner or onsite office manager if the owner is indisposed.
- Interact with the dogs in a positive and compassionate manner, providing enrichment activities and socialization opportunities.
Workflow Management:
- Help follow established procedures and workflows to ensure efficient operations and maintain high standards of care.
- Collaborate with other team members to coordinate tasks and responsibilities effectively.
- Help prioritize tasks based on urgency and importance, adapting to changing circumstances as needed.
- Utilize problem-solving skills to address any issues or challenges that arise during daily operations independently.
Skills Strong time management skills to prioritize tasks effectively. Proficiency in filing systems and document organization. Familiarity with Google Suite/Microsoft applications (Docs, Sheets, Drive). Familiarity with Gingr or CRM applications Excellent proofreading skills with attention to detail. Typing proficiency for efficient data entry and document preparation. Solid administrative skills to support daily office operations. Professional phone etiquette for effective communication with clients Bilingual abilities are a plus to enhance communication with diverse populations.
