The ideal candidate will play a crucial role in the office environment, and daily operations, supporting the organization at an entry level position with a great potential for growth.
JOB OVERVIEW
The Auritas Administrative Assistant provides essential support to ensure the smooth day-to-day operations for the office and the office staff personnel. This role includes creating and maintaining schedules, assisting staff, answering the main phone line and performing general clerical duties. The Administrative Assistant also manages basic tasks such as filing, data entry, sending correspondence, and organizing documents to maintain an efficient workflow.
RESPONSABILITIES & DUTIES PROJECTS
Conduct timesheets and vendor orientations. Time entries – new projects, new-users, and enter timesheets. Review and process timesheets, approvals and screenshots for accuracy. Prepare packets at the end of the month for billing. TRAVEL Research and book airfare and hotel accommodation when requested. Send confirmations and update CC log, Divvy and Trip-It. Complete changes and cancellations when necessary. Maintain travel log.
NEW HIRES
Assign laptop and assist IT Lead with remote configuration. Create asset form for completion, signatures and proper filing. ASSETS Process any claims under laptop warranties. Check and extend laptops’ warranties, if applicable. Issue and collect assets from active and non-active employees. Maintain asset form Up-to-Date – check and extend warranties if applicable. Advise when assets need to be collected and catalog to be recycled. Work with IT Lead to reset to factory settings collected assets to be recycled. Manage hardware inventory & create Asset Forms. Assist IT Lead with laptops configuration or reconfiguration over new software and updates.
MISCELLANEUOS
Update Co. Directory Create emails for Holidays and Anniversaries Manage Citizenship Spreadsheet Other administrative support related duties to assist office and staff members. Maintain a high level of control over all duties and responsibilities assigned. Provide general support as required to administration, human resources, operations and management.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
