POSITION DESCRIPTION

The Administrative Assistant II provides a broad range of advanced clerical and administrative support duties for department head or similar position.

ESSENTIAL FUNCTIONS

1. Types, revises, edits, proofs and prints a broad range of correspondence, documents, and reports. Assembles and summarizes materials from available sources.
2. Handles routine and non-routine documents with a high level of confidentiality.
3. Establishes electronic and/or paper filing systems and maintains current files for the department, including files for correspondence, reports and data.
4. Interacts with students, faculty, and the public to provide information on department programs and resources.
5. Opens, organizes, and screens mail. Answers telephone, screens and refers calls, takes or appropriately routes messages.
6. Operates and ensures office equipment is in working order, and aids staff in use of computers and related software.
7. Maintains calendar and makes travel arrangements for supervisor. Schedules/reserves conference rooms and prepares for meetings as directed.
8. Maintains records for department budget reports and related documentation, prepares requisitions for supplies and materials.
9. Communicates with other staff members to provide assistance and operational support for department members.
10. Prepares and processes full-time and part-time payroll, including timesheet submissions and necessary forms for approval.
11. Complete the schedule-building process for all Allied Health Professions courses, including room assignments each semester.
12. Performs all site and position specific responsibilities as assigned.

REQUIRED QUALIFICATIONS

1. Graduation from an accredited high school or possession of an acceptable equivalency diploma.
2. Demonstrated experience utilizing Microsoft Office programs (Word, PowerPoint, and Excel).
3. Administrative support experience.
