Front Office Assistant/Receptionist 3.3 3.3 out of 5 stars 2452 Lake Emma Road, Lake Mary, FL 32746 We are looking for an Office Assistant to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As an Office Assistant, you will be the first point of contact for all guests. Duties will include offering administrative support across the organization. You will coordinate front desk activities, including distributing correspondence and redirecting phone calls. To be successful in this position, the candidate should have a pleasant personality, as this is also a customer service role. Candidate is expected to handles emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Responsibilities Greet and welcome guests as soon as they arrive at the office Direct visitors to the appropriate person and office Answer, screen, and forward incoming phone calls Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures) Provide basic and accurate information in-person and via phone/email Receive, sort, and distribute daily mail/deliveries Maintain office security by following safety procedures and controlling access via the front desk (monitor logbook, issue visitor badges) Take inventory of supplies Update calendars and schedule meetings Perform other clerical duties such as filing, photocopying, scanning, printing, and data entry Position will support the Office Manager Assist with a wide variety of administrative tasks Qualifications Prior experience as a Front Office Representative, Administrative Assistant, or Clerical role Proficiency in Microsoft Office Suite and Google Workspace Hands-on experience with office equipment (e.g. computers, scanners, copiers, and printers) Professional attitude and appearance Written and verbal communication skills Ability to be resourceful and proactive when issues arise Excellent organizational skills Strong organizational and time management skills, with the ability to prioritize tasks Excellent customer service experience High school diploma Schedule Monday-Friday 8:15 AM – 5:15
