St. Augustine, FL 32084 Job Description We are seeking a highly organized and detail-oriented Administrative Assistant to provide comprehensive administrative and clerical support to the organization. The ideal candidate will be a proactive and resourceful individual with excellent communication and interpersonal skills, capable of managing multiple tasks efficiently and maintaining a high level of professionalism and confidentiality. This is a part-time, temporary role with opportunity for extension.

Primary Responsibilities :

Provide general administrative and clerical support, including but not limited to: Managing phone calls and emails, responding appropriately and routing inquiries. Maintaining and organizing physical and electronic files and records. Preparing agendas, minutes, and other meeting materials. Photocopying, scanning, and faxing documents. Supporting with taking inventory of and maintaining office supplies. Arranging and setting up company wide and/or Board of Director meetings including room setup, food and beverage pickup and setup, etc. Greeting and assist visitors in a professional and courteous manner. Providing support to Operations and Human Resources in managing miscellaneous vendors such as the building cleaning vendors, grounds maintenance vendors, etc. Performing other administrative duties as assigned.

Qualifications:

1+ years’ experience in an Administrative support role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. Sense of urgency with the ability to prioritize tasks. Ability to think strategically and tactically (detail-oriented) Excellent verbal and written communication skills Ability to work collaboratively across all departments and with all levels of employees. Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.

Physical Requirements:

Typical office environment with periods of time spent on the manufacturing floor.
