POSITION SUMMARY

The Infusion Administrative Assistant is many times the first person that a patient sees when arriving at the practice. This person should provide excellent customer service, be pleasant, helpful, and a comforting person as well as exude a willingness to make the patient feel welcome. They should be able to handle stressful situations without losing control and should be comfortable asking for payments. They should also possess excellent communication skills by using proper grammar and professional speech.

ESSENTIAL JOB FUNCTIONS

Log onto phones and EMR/ open inbox Run Eligibility in Phreesia for every patient on the schedule for that day. Check DASH daily for any cancellations and remove them off the schedule. Make note of any cancellations and call to reschedule. If patient is called 3 times (in one week with no response) send a missed letter appointment and notify the MD in the EMR. Greet patients and all other visitors to the infusion center. Promptly respond to arriving patients and bring them back to the infusion center when called. Check the patient in and create an encounter. Make sure all patients have signed all necessary documents (i.e., No Show Policy, Stelara Nurse Navigator form) Obtain patient information and/ or ensure all patient information is current and appropriate signatures are obtained. (i.e., Ask if any changes in insurance, ask to see insurance card) Obtain required co-pays, deductibles, coinsurance, past due balances, and patient assistance payments from patients. Schedule the patient for a follow-up visit and give the patient an appointment reminder. Notify the nurse that the patient has arrived and is waiting to be seen. Create a medication scheduling task for all new patients with orders waiting to be scheduled. Scan all required information (insurance cards, etc.) as required. Secure cash after each office schedule according to the cash security policy All patient charts must be completed and ready at check-in the day prior. Each chart must have a medication order. Must indicate if the patient is a specialty or patient assistance. Enroll qualifying patients in medication Copay programs Check 1 week prior for any drugs that need to be ordered for patients upcoming appointments. Contact Specialty Pharmacies to order medications before the patient’s scheduled appointments.

OTHER FUNCTIONS

Must have the training and ability to answer any questions from patients/visitors. Log in and answer incoming calls, handle appropriately, i.e. schedule appointments, direct calls to appropriate people/offices. Must be logged in to phones at all times, notifying staff when on release. All voicemails must be answered promptly. Must be knowledgeable in the clinic’s various insurance plans. Ensure the message is sent to the appropriate nurse using EHR messaging. Distribute all incoming faxes/mail as necessary. Follow all emergency preparedness plans. Alert the nurse administrator/manager of any issues immediately. Requires access to Personal Health Information (PHI), HIPAA training is required, and HIPAA compliance is expected. Must follow the organization’s Code of Conduct Must participate in the Compliance Program Initiatives, reporting, and Compliance Issues Other duties assigned.
