QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS

The qualifications and skill requirements for this position include: Proven work experience with standard office equipment such as computers, telephone, photocopiers, facsimile machines, and calculators; Proven work experience in a business office to include data entry, payment processing, word processing, faxing, filing, processing requisitions, and monitoring budget; Proven experience with Microsoft Office, Windows, and Outlook or other equivalent software; Since this position requires direct contact with College administrators, faculty, staff, students, vendors, and the general public on a daily basis, the ability to communicate via telephone, email, and in-person in a professional manner is extremely important; Professional appearance and demeanor; Strong communication skills – both verbal and written following professional business convention; Strong business aptitude and the ability to work with complex financial data; Ability to complete appropriate paperwork in a timely fashion; Ability to work with people in time sensitive situations; Ability to maintain confidentiality; Ability to maintain strict accuracy and be detail oriented; Ability to be well organized; Ability to work independently as well as with others and be self-motivated; General knowledge of all areas in an accounting and finance office; The qualifications and/or experience below are preferred: Bachelor’s degree in Business from an accredited institution OR Associate’s degree with four (4) years of proven work experience; Proven work experience using an integrated, enterprise-wide accounting system.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES

The essential functions and responsibilities for this position include, but are not limited to: Providing general administrative support to all Finance staff; Assisting the Dean of Finance with the daily operation of the Finance Division in support of the College mission.

SPECIFIC DUTIES AND RESPONSIBILITIES

The specific duties and responsibilities for this position include, but are not limited to: Providing administrative support for the Dean of Finance including faxing, filing, document preparation, research, and calendar & departmental goals and objectives maintenance; Receiving, screening, and routing of incoming telephone calls, complaints, and concerns from faculty, staff, administration and students and responding professionally and appropriately in accordance with College policy; Serving as the liaison between the Dean of Finance and staff, faculty, students, administration, vendors, state and federal agencies, and others by providing information and customer service assistance regarding various College programs, procedures, requirements and any financial information inquiries; Receiving, screening, and routing of Finance Division mail and recording of payments in the check receipts log; Arranging meetings, attending meetings, and preparing & distributing related agendas and minutes; Organizing position’s assignments, setting priorities, and meeting critical deadlines; Making travel, registration, lodging and conference reservations for Dean of Finance and Finance staff; Coordinating monthly board documents for distribution review; Maintaining inventory and replenishment of supplies for Finance; Acting as a back-up to the Workday Expense Partner (including expense cards); Participating in testing Workday expense updates and new releases; Organizing, maintaining, and revising various files and College contracts which may involve confidential information; Reviewing finished material for completeness, accuracy, format, and compliance with policies and procedures; Maintaining administrative procedures located on the intranet; Monitoring budget ensuring funds availability; Tracking and maintaining documentation of Dean’s participation to complete requirements for certification; Assisting with all tax reporting and submission to IRS each calendar year; Purging files as appropriate following State of Florida document retention standards; Demonstrating the highest ability to keep records and information in the strictest confidence; Providing support to Finance Division and Financial Services departments as directed by the Dean of Finance; Completing other duties and responsibilities as assigned by the Dean of Finance.

PHYSICAL REQUIREMENTS

This position requires an ability to hear and speak clearly in addition to sitting, standing, and using the telephone for extended periods as well as the ability to walk, bend, lift, reach up, stoop, and carry items in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines, such as, computers, photocopier, fax machines, calculator, telephone, and other equipment as necessary.
