Major Functions The County of Volusia is seeking a Senior Administrative Assistant for the Public Works Department. This position is located in DeLand, FL and will be responsible for coordinating varied complex administrative processes in support of the Public Works. Illustrative Duties (

Functions as an executive aide to the department director to include scheduling meetings with senior county management, county council members, municipalities and the FDOT.
County Capital Project Schedule administrative coordination. Conducts necessary correspondence for the department director.
Coordinates administrative functions across the seven Public Works divisions for consistency and completeness to include hiring, evaluations, records retention, and public records requests.
Chairs quarterly administration meetings with staff from the seven Public Works divisions. Prepares agenda items which include reviewing documents for accuracy and completeness; collecting information and back-up as necessary; ensuring timely submission of items. Evaluates programs for compliance with priority schedules and accomplishment of work programs.
Implements programs with a minimum supervision.
Develops and installs systems, forms, and procedures.
Represents the department in making special investigations and gathering information.
Compiles reports regarding area of assignment.
May serve as program or project manager wherein the program’s success relies on the incumbent.
May make travel arrangements, process and post travel paperwork following county policies and procedures.
May be assigned to other county locations based upon operational needs.
Attends work on a continuous and regular basis.
Responds to emergency situations.
Must adhere to Federal, State, County and Local ordinances.
Performs other duties as assigned. Minimum Requirements Four (4) years of progressively responsible experience in executive administration, specialized technical, operational capacity or a related field. OR Bachelor’s degree in Business Administration, Political Science, Public Administration, Social Science or a related field. OR Associate degree in Business Administration, Political Science, Public Administration, Social Science or a related field and two (2) years of progressively responsible experience in executive administration, specialized technical, or operational capacity. A comparable amount of education, training, or experience may be substituted for the minimum experience. Must possess and maintain a valid driver’s license at time of hire. Must possess a valid Florida driver’s license within 30 days of hire and maintain thereafter. Knowledge, Skills & Abilities Knowledge of the principles of management and their application to the administration of governmental affairs.
Knowledge of Public Works, including trends and concerns.
Knowledge of research and report writing techniques.
Knowledge of basic accounting principles and procedures.
Ability to initiate and install administrative programs and procedures and to evaluate their effectiveness.
Ability to supervise the work of other employees.
Ability to communicate effectively both orally and in writing.
Ability to establish effective working relationships.
Ability to work under stressful conditions.
Must be able to relocate to other county locations based upon operational needs.
