Administrative Assistant American Acquisition Group DeLand, FL 32720
Purpose :
The Administrative Assistant is responsible for company administrative procedures and performs administrative tasks accurately and effectively.
Duties and Responsibilities:
Provide customer service in a professional and friendly manner Process invoices in accordance with provisions and requirements of Section 215.422. F.S.
Process and coordinate contracts:
opening, supplementing, amending and closing contracts; encumbering funds; processes contract and miscellaneous invoices using the Right of Way Management System (RWMS) and Contract Funds Management System (CFM) Create and maintain data in Right of Way Management Systems (RWMS), Contract Funds Management (CFM) and SharePoint, timely and accurately Answer and direct phone calls to appropriate individuals Assist with administrative tasks as needed Record and file management – data entry, file and organize physical and electronic file systems Provide customer support and handle inquiries or issues Proofread documents for grammar, spelling, and formatting errors Coordinate, schedule and set meetings in Outlook, as assigned or requested Process correspondence and requests for staff and management
Experience, Skills and Abilities:
Previous experience in an office environment preferred Proficiency in using Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and database applications Ability to collect information/data and review for accuracy and completeness Strong organizational skills with the ability to multitask and prioritize tasks effectively Excellent verbal and written communication skills Attention to detail and accuracy in completing tasks Independent planning, monitoring, tracking the status of assignments Skilled in use of available resources and problem solving Ability to establish and maintain effective working relationships with others.
Minimum Requirements:
Proven administrative experience. Competency in MS Office, databases and administrative software. Hands-on experience with spreadsheets. Data entry and word processing skills.
Preferred Requirements:
Associate’s degree in related field.
