Major Functions The County of Volusia is seeking a Senior Administrative Assistant for the Airport Division under the Department of Aviation & Economic Resources, located at the Daytona Beach International Airport. This position is the administrative point of contact for the Aviation & Economic Resources Department Director and Airport Division Director. It entails performing responsible work coordinating varied administrative processes functioning in a specialized, technical, or operational capacity in support of the Directors and their direct reports.  These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position.) Serves as the administrative point of contact for the Directors and stay abreast of the Directors’ activities.
Provides administrative support to include taking calls and messages to relay pertinent information, ordering business cards, ensuring materials are prepared for meetings and other activities.
Provides Directors and Division Managers with administrative support and duties.
Analyzes and resolves situations and assigned projects independently with sound judgement.
Coordinate and maintain activity related to the Purchasing & Legal logs.
Maintains appointment calendars, schedules and organizes meetings and manage calendar events.
Maintains and organizes files.
Maintains task tracking sheets, tracks deadlines and provides follow-up as requested.
Acts as point of collection, coordinates and disseminates all documents requiring Directors’ signature or action and electronic approvals.
Drafts, edits, coordinates and researches to provide correspondence, memos, reports, spreadsheets and Power Point presentations using the Microsoft Office platform.
Drafts and coordinates agenda items, prepares ADA formatted documents, prepares packet materials and maintains tracking.
May be required to attend meetings to take notes or perform clerical and coordination tasks.
Tracks and maintains payroll files for Directors’ direct reports.
Tracks to ensure updated Task Assignment, Grants and other manuals on behalf of the Director.
Coordinates and updates H parking passes.
Provides backup to reception as needed.
Responds and assists management in the Airport Operations Center during emergencies.
May be assigned to other county locations based upon operational needs.
Attends work on a regular and consistent basis.
Must adhere to Federal, State, County and Local ordinances.
Responds to emergency situations.
Performs other duties as assigned. Minimum Requirements Graduation from high school or possession of GED and four (4) years of progressively responsible executive administrative, specialized technical, operational capacity experience. OR Bachelor’s Degree in Business Administration, Political Science, Public Administration, Social Science or a related field. A comparable amount of education, training, or experience may be substituted for the minimum experience. Must possess a valid Florida driver’s license within 30 days of appointment and maintain thereafter. Must be able to successfully complete a fingerprint-based criminal background check as a condition of employment for obtaining a TSA approved Airport issued badge. Knowledge, Skills & Abilities Knowledge of the principles of management and their application to the administration of governmental affairs.
Knowledge of area of assignment, including trends and concerns.
Knowledge of research and report writing techniques.
Knowledge of basic accounting principles and procedures.
Knowledge or ability to learn County and Division processes and procedures.
