Job Summary We are seeking a detail-oriented and organized Part-Time Administrative Assistant to provide essential administrative support for our Montessori childcare program. This role is crucial in maintaining smooth daily operations while supporting our mission to provide quality early childhood education in a nurturing Montessori environment. Responsibilities Daily Administrative Operations
- 25% Manage front desk reception duties including answering phones and greeting visitors Maintain accurate daily attendance records for all children Process tuition payments and coordinate with families regarding billing inquiries Prepare and distribute monthly communications to families Organize and file child records, medical forms, and licensing documentation Compliance and Documentation
- 35% Assist with ensuring all child enrollment forms, immunization records, and emergency contacts are current Assist with maintaining staff files including certifications, training records, and background checks Special Projects and Events
- 15% Support planning and coordination of family events and parent education workshops Assist with supply ordering and inventory management Help coordinate field trips and special program activities Maintain program marketing materials and social media presence Enrollment and Family Services
- 20% Process new family applications and maintain enrollment database Coordinate enrollment tours and provide program information to prospective families Update and maintain current family contact information and emergency contacts Assist with enrollment transitions between age groups Other
- 5% Other duties as assigned Required Qualifications Educational Requirements High School Diploma or equivalent.
