The ideal candidate will play a crucial role in facilitating communication and administrative functions within the soccer club environment . This position requires a proactive individual who is passionate, and has experience working with others in a high paced environment . The Administrative Assistant will assist in various administrative tasks, contribute to registration efforts, and support the soccer club. Duties 1. The duties of the Registrar/Administrative Assistant will be divided into two categories (Registration, Administrative) and are not limited to the following list of responsibilities. Additional duties may be added on an as needed basis. Role reports directly to the Executive Director Registration i. Recruit Recreational coaches, set up Coaching profiles in PlayMetrics, create a seasonal application in Affinity, create login credentials for Safe Sport training, process background checks and monitor compliance, communicate with coaches (2x per year). Communicate with ED and DOR to approve potential recreational coaches ii. Roster players to Rec teams and accommodate schedule requests. Communicate with ED and DOR iii. Manually create the Rec teams in Affinity. iv. Manually migrate Rec players to Affinity. v. Manually roster players to each team in Affinity. vi. Set up registration platform in PlayMetrics for Rec program twice a year. vii. Set up registration platform in PlayMetrics for Competitive programs once a year viii. Manually migrate any mid-year additions to GA Soccer ix. Print rosters and cards for all teams competing in league play – twice a seasonal year and as needed x. Set up programs for camps, tryouts and other events in PlayMetrics xi. Communicate with ED and Dor on a regular basis Administrative xii. Pay GA Soccer fees monthly as well as any other bills requiring payment. xiii. Complete the annual affiliation application for the youth program – usually during the summer. xiv. Complete the annual Certificate of Liability for filing by mid-August, COL is renewed each September. xv. Assist parents at every level with registration issues, take calls as forwarded to me. xvi. Answer, respond or forward all emails from 4 accounts. xvii. Monitor independent contractors (Competitive Coaches and Staff) compliance: Safe Sport, Cardiac Arrest Policy, Background check, concussion protocol, W-9 forms. xviii. Assist team managers with paperwork, help with their compliance pieces, background checks and Safe Sport xix. Declare competitive teams to GA Soccer for league play twice a year. xx. Monitor Board level compliance with GA Soccer Risk Management, Background Checks and Safe Sport xxi. Assist with administrative duties as requested by ED or DOR, some nights and weekends will be required xxii. Attend all RHSC Board of Directors meetings, unless attendance is excused by the Executive Director xxiii. Complete Georgia Secretary of State filing annually. xxiv. Monitor payment plans in Rec and competitive divisions through PlayMetrics Skills Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously. Excellent verbal and written communication skills Experience working directly with families to solve registration issues. Knowledge of soccer and soccer clubs is a plus. Ability to work collaboratively within a team-oriented environment while also being self-motivated.
