We’re currently looking for a Full-Time Branch Administrator/Service Support to support the day-to-day operations of our Savannah Branch. This role is essential to keeping our office running efficiently and ensuring our field teams, vendors, and clients receive timely and accurate administrative support.
Responsibilities:
In this role, you’ll provide essential support to ensure smooth operations across multiple departments.
Your responsibilities will include:
- Answering and directing incoming calls professionally
- Greeting and assisting visitors and vendors
- Managing all incoming and outgoing mail
- Maintaining organized job files and customer documentation
- Assisting with the preparation and processing of alarm and low voltage permits
- Supporting document control and electronic filing for Service and Installation teams
- Monitoring and ordering office supplies
- Verifying purchase orders against material requisitions
- Tracking purchase orders and updating ETAs to support scheduling and billing
- Receiving and inspecting shipments to confirm material accuracy against orders
- Scanning and distributing purchase orders and packing slips to appropriate team members
- Communicating with customers regarding outstanding accounts and assisting with collections
- Completing Return Material Authorization (RMA) forms and submitting necessary documentation
- Researching part costs and vendor pricing as requested
- Making occasional bank deposits for payments received at the branch
- Performing additional administrative duties as assigned
Qualifications:
We are looking for a candidate who demonstrates:
- Proven experience in administrative or office support roles with strong organizational skills and the ability to manage multiple tasks effectively
- Excellent verbal and written communication skills, comfortable interacting professionally with vendors, customers, and internal departments
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
- Familiarity with purchase orders, packing slips, material tracking, and basic accounts receivable and collections processes
- Detail-oriented with strong data entry, document verification skills, and accuracy in handling administrative tasks
- Experience with permit processing and return material authorization (RMA) procedures is a plus
- Dependable, trustworthy, and self-motivated with a proactive approach to completing assigned duties and problem-solving

- Manual dexterity required for frequent use of standard office equipment, including keyboard, mouse, telephone, and copier.
- Ability to hear and speak clearly to communicate effectively in person and over the phone.
- Visual acuity required to view a computer screen, read printed materials, and perform data entry or document review tasks.
- Work is primarily performed in a professional office setting with standard lighting, temperature, and office equipment.
