Position Summary:
We’re seeking a dependable, detail-oriented Office Assistant to support daily administrative operations and keep things running smoothly. You’ll play a key role in scheduling crews for kitchen suppression jobs, supporting payroll and financial processes, assisting with sales and follow-ups, and directly supporting the Chief Operating Officer. Key Responsibilities:
- Schedule kitchen suppression crews and update calendars accordingly
- Assist with technician payroll processing and time tracking
- Manage basic Accounts Receivable (invoice follow-up, customer outreach)
- Support Accounts Payable (bill entry, payment coordination)
- Assist the COO with administrative tasks, projects, and reporting
- Make follow-up calls to potential clients from sales team outreach
- Help organize paperwork, records, and customer files
- Communicate with technicians and customers to ensure smooth scheduling and service
- Contribute to a positive and professional office environment
Qualifications:
- High school diploma or equivalent required
- Prior administrative or office experience preferred
- Strong organizational skills and attention to detail
- Comfortable with spreadsheets, email, and basic bookkeeping tasks
- Friendly, professional phone communication skills
- Ability to prioritize tasks and adapt in a fast-paced environment
