Data entry Organizational skills Computer skills 1 year Air permitting Entry level Time management Office experience Full Job Description Cool Air Mechanical Marietta, GA Cool Air Mechanical is looking to add an Install Administrator with focus on Permitting to their team. This is an onsite position located in Marietta. In this role you will support the company and its operations by collaborating with team members in the Install department as well as all other departments across the organization. This role requires time-management skills, attention to detail, adaptability to perform in a high-volume environment, exceptional customer service skills, and organization.

Schedule:

Monday-Friday, shift times of 8-5 Up to 2 Saturdays per month with shift times of 7-1

Key Responsibilities Permit:

Apply for HVAC, Plumbing, and electrical permits in accordance with the specific guidelines and requirements of each municipality. Serve as the primary point of contact between the company, customers, and permitting offices. Handle all communications with municipalities to ensure the timely and successful approval of permit applications. Make payments for permit applications, inspection fees, and any other related costs, ensuring that all necessary payments are made promptly. Upload all issued permits to customer accounts and send them to customers along with clear instructions on scheduling inspections and understanding inspection parameters. Coordinate with customers and municipality permitting offices to schedule inspections within the required time frames, ensuring that permits are closed out efficiently and on time. In the event of failed inspections, work with customers and municipalities to resolve issues by scheduling necessary revisions and re-inspections as required. Ensure that any jobs which are canceled and have permits applied for are properly canceled in accordance with each municipality’s guidelines.

Key Responsibilities Install:

Complete next-day install paperwork with provided Excel and Pricebook templates Process Customer payments in both retail and company systems in a timely manner Break down paperwork post-installation and complete processing in both retail and in-home systems. Utilize phone systems to answer and assist customers and other team members in topics relevant to installations and permitting/inspections Proficiency in spreadsheets and organization skills Must be able to multi-task and adapt to tasks needing completion within various time-frames Hold proper and professional attitude, and display excellent time-management skills Remain reliable and dependable for shift times and completion of job tasks All other duties as assigned by

Install Admin Manager Qualifications:
Education/Experience :

High School Diploma. Minimum of 1 year of experience in a Permitting role. HVAC/Install Administrative experience is a plus.

Language Skills :

Ability to write and comprehend routine reports and correspondence with customers, as well as other team members in-office. Ability to correspond effectively with individuals in county and city offices to ensure timely completion of permitting and inspections

Mathematical Skills :

Ability to perform basic addition, subtraction, multiplication, and division of whole numbers, common fractions, and decimals. Perform calculations necessary to determine correct discount for Costco Programs. Ability to read/Interpret spreadsheets and graphing as necessary.

Computer Skills :

Proficient in Microsoft Office Programs and Data Entry experience. Knowledge in ServiceTitan, Pricebook, Centah, OMS, or related company systems is preferred Attitude – Ability to remain calm in high volume, high stress situations. Team Player willing to provide support to fellow team members in all situations with a positive attitude. Ability to maintain positive relationships across the organization to support both internal and external customers.
