Job Description

Office Administrative Assistant Zion Baptist Church Marietta, GA 30060 • Hybrid work Position Description We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of administrative tasks, providing excellent customer service, and supporting various departments. This position requires strong computer literacy and proficiency in data entry, as well as experience with office management software.

Essential Duties and Responsibilities:

Maintain the church membership database. Maintain electronic phone tree distribution lists. Publish quarterly membership directories. Maintain confidentiality and safeguard members’ information. Coordinate and support the activities of the church. Produce an annual church calendar. Responds to all mail correspondences, including the distribution of letters, cards and other communications to the sick and shut in, and parishioners experiencing grief and difficult times. Maintains organization of church filing system. Manages the church’s calendar and schedule to include all religious holidays, pastor’s appointments with the ministry leaders, and events in the church facilities. Publishes the church bulletin with notices for anniversaries, christenings, baptisms, weddings, and other major events. Enters new visitor information into a database of parishioners. Manages office supplies, keeps track of inventory, and make approved purchases as needed. Required Knowledge, Skills and Abilities Manage front desk operations, greeting visitors and answering phone calls in a professional manner. High school diploma or GED equivalent required. Must be able to work at a fast pace and stick to weekly deadlines. Must be a self-starter with an innovative approach to administration and a keen eye for detail. Must be committed to the church’s mission and message. Must be courteous and tactful with parishioners. Must exercise exceptional judgment in dealing with sensitive and personal issues. Must be able to handle light bookkeeping. Must be familiar and able to utilize Microsoft office programs, particularly Microsoft Word, PowerPoint, Excel and Outlook. Must be able to communicate effectively both verbally and in writing. Must be able to lift, bend, walk and Education and Experience High school diploma or GED equivalent required. Associate Degree or bachelor’s degree preferred. At least two years of clerical or administrative experience. Must be able to work some weekends and attend regular services and some special events as needed.
