This role focuses on backend logistics, documentation, and working closely with producers to support pre-event planning and on-site coordination. Essential Duties and Responsibilities:

Administrative Support Documentation Management :
Create, maintain, and archive event documentation such as production packages, schedules, project plans, and post-event reports on platforms like Egnyte, Slack, and Google Calendar.
Calendar and Meeting Coordination :
Assist in scheduling and managing calendars for the Production Team, including organizing internal and client-facing meetings, taking notes, and distributing meeting minutes as needed.
Communication Support :
Facilitate clear communication within the production team by sending out relevant updates, show information emails, and documents as directed by lead producers or the Director of Production. 2.
Event Preparation and Support Production Planning Assistance :
Work with producers to initiate event builds, including assisting with creating estimates in Intellievent (IE) and compiling production information documents.
Internal Production Coordination :
Act as a bridge between departments (Production, Technical Operations, and Creative Services) to ensure alignment on event details, project timelines, and logistical needs.
On-Site Support :
Attend events and support the assigned producer, assisting with tasks such as taking notes, distributing documentation, and coordinating on-site logistics under the producer’s direction. 3.
Project Coordination Budget and Expense Tracking :
Assist in tracking expenses and processing invoices for event-related expenditures, working closely with finance to ensure timely and accurate budget reporting.
Vendor Coordination :
Coordinate with vendors for various event needs, such as securing quotes, confirming orders, and scheduling delivery or pick-up, as directed by the producer. 4.
Project Documentation and Compliance File and Data Management :
Ensure all event files, contracts, permits, and relevant documentation are organized, stored, and accessible to the production team.
Safety and Compliance :
Support compliance by preparing necessary documents, coordinating with internal or external parties on permits, and assisting in implementing safety protocols as directed by the production lead. 5.
Internal Systems and Process Management System Updates :
Assist in maintaining and updating project management systems, including Egnyte, Intellievent, and other internal platforms to ensure they reflect the latest event information.
Task Coordination :
Track the status of production tasks, follow up on outstanding items with team members, and keep producers informed on progress.
Continuous Improvement :
Participate in internal meetings to provide feedback on administrative processes and suggest improvements for increased efficiency and organization. What you bring to the table: 2+ years in a project management or administrative role, preferably within the live events or production industry. Strong organizational and time-management skills with attention to detail. Excellent written and verbal communication skills. Proficiency with Microsoft Office (Word, Excel, PowerPoint) and familiarity with project management software (e.g., Slack, Egnyte, Intellievent). Ability to multitask, prioritize, and work under time constraints. Basic budgeting and financial tracking skills are a plus. A proactive mindset, strong problem-solving skills, and the ability to work both independently and as part of a team. Willingness to occasionally work irregular hours, including evenings and weekends, to support event schedules. Ability to travel for on-site support as required
Preferred Education:
Associate’s degree or equivalent experience in Event Management, Business Administration, or a related field. A Bachelor’s degree is preferred. What we bring to the table:
