Full Job Description Position Overview:
We are seeking a highly organized, proactive, and detail-oriented individual to serve as both Project Coordinator and Personal Assistant to the Vice President. This dual-role position will support the VP in both professional and personal capacities—ensuring efficient calendar management, travel coordination, and daily task prioritization—while also assisting project managers with planning, tracking, documentation, and cross-functional coordination across various initiatives. The ideal candidate thrives in fast-paced environments, has exceptional communication skills, and can seamlessly juggle competing priorities with professionalism and discretion.
Key Responsibilities:
Executive & Personal Assistant Duties (50%) Manage and maintain the VP’s calendar, schedule, travel plans, and appointments. Prepare daily briefs, agendas, and materials for meetings or events. Handle personal errands, reservations, and household coordination as needed. Maintain confidentiality and discretion in handling sensitive information. Screen calls, emails, and requests; respond or delegate as appropriate. Support with special personal projects or family logistics as needed. Project Coordination Duties (50%) Assist project managers in tracking project timelines, deliverables, and milestones. Organize project documentation including reports, meeting minutes, and status updates. Schedule and coordinate team meetings, project kickoffs, and cross-functional collaborations. Follow up on assigned action items and ensure progress tracking for multiple concurrent projects. Create presentations, spreadsheets, and project trackers to support project reporting. Serve as a liaison between project stakeholders and executive leadership for status communication.
Qualifications:
Proven experience as an executive assistant, personal assistant, or project coordinator. Strong organizational and time-management skills; ability to multitask and prioritize. Excellent written and verbal communication skills. High level of discretion, professionalism, and emotional intelligence. Proficiency with Microsoft Office Suite, Google Workspace, project management tools Rapid. Ability to work independently with minimal supervision. Bachelor’s degree preferred but not required.
Preferred Qualities:
Comfortable with occasional after-hours availability for urgent matters. Strong initiative and problem-solving mindset. Experience supporting high-level executives or leadership teams.

Salary commensurate with experience.
