Schedule:
Onsite Daily / Monday•Friday, 8:30am•4:30pm
Summary:
The Administrative Assistant provides essential support to multiple Vice Presidents or equivalent administrators, handling clerical, office management, and general administrative tasks.
What you get to do:
Perform day-to-day clerical tasks and manage administrative duties.
Act as the first point of contact for inquiries, emails, phone calls, and visitors.
Handle routine inquiries with knowledge of office procedures and operations.
Support Board of Trustees during biannual meetings (travel required), including minutes and confidentiality maintenance.
Prepare correspondence, reports, and other office documents.
Manage supervisors’ calendars, meetings, and travel arrangements.
Process expense vouchers and records.
Maintain office files in accordance with retention policies.
Assist in achieving supervisors’ goals and participate in ad-hoc projects.
Support company events and retreats (some travel required).
Provide assistance to other staff and administrative assistants as needed.
What you need to succeed:
Associate degree in Administrative Assistance, Office Management, Business Administration, or related field preferred; high school diploma with relevant experience required.
Proficiency in office software (Microsoft Office, Salesforce, Concur) and strong proofreading skills.
Ability to work independently, prioritize tasks, and interact professionally with visitors.
Strong written and verbal communication skills.
Ability to manage confidential information and demonstrate professionalism in all tasks.
Previous experience in a similar role is a must.
