Job Description

Administrative Associate ASPPB Tyrone, GA 30290 • Hybrid work Job Summary The Administrative Associate (AA) is responsible for providing administrative support for the governance and meetings/events programs. The AA works under the direction of the Director of Governance Operations and provides administrative support to the Director of Meetings and Events. General Responsibilities Provide administrative support including, creating agendas, filing, making copies, scheduling video calls, etc. Prepare PowerPoint and Word documents as needed for various activities. Assist with telephone coverage because of staff absence. Governance Responsibilities Assist with the call for ASPPB volunteers. Assist in preparation of materials for Annual and Midyear meetings, to include the development of the primary agenda book and speaker materials. Assist in maintenance and preparation of the annual ASPPB Game Plan. Assist with nominations, awards, and election processes. Assist with maintaining and archiving ASPPB records in compliance with the Records and Retention Policy. Participate with and assist committees, taskforces, and workgroups as needed. Assume other responsibilities as assigned. Meetings and Events Responsibilities Assist the Meetings and Events Coordinator with keeping the ASPPB website calendar and Outlook calendars updated with future meeting logistics and details. Assist with Annual and Midyear activities to include collecting and organizing materials and continuing education platforms. Assist with the organization and maintenance of the Meetings and Events Storage Room. Other meeting responsibilities as assigned. Skills and Qualifications College degree preferred, not required. 1-3 years previous administrative support position required. Excellent computer skills with a strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with using multiple computer programs. Strong written and oral skills. Strong proofreading skills and attention to detail. Ability to communicate with a wide range of individuals in a personable and helpful manner. Ability to work in a dynamic, fast-paced, deadline-driven environment. Ability to demonstrate a “team” approach to productivity and performance. Ability to perform job responsibilities with minimum supervision. Knowledge of proper business correspondence, letter/email formats, record keeping, and filing systems. Ability to adapt to procedural modifications.
