Full Job Description Job Summary:

The Collaborative Firm is seeking an Administrative Assistantfor a stormwater Capital Improvement Projects (CIP) program assignment in the greater Atlanta, Georgia, area.

Typical Responsibilities:

PMT Stormwater – Administrative Assistant under the direction of, and in collaboration with the CIP Project Manager, provides administrative support to the CIP Stormwater Team (stormwater team).

Key tasks include:

Administrative functions: o Support Project Manager by attending various meetings, taking and distributing meeting minutes, recording and tracking action items, responding to emails, and any other actions that further the goals of the stormwater team. o Ensure work orders are flowing through the workflow in a timely manner. o Work with Communications Team to send and receive updates on work order statuses. o Ensure resolution information and updates are entered into the Cityworks asset management software and SharePoint file directory software in a timely manner. o Initiate, update and close service requests and work orders in Cityworks. o Act as a Roads and Drainage SharePoint Site Owner by Uploading data into SharePoint Managing site users Creating new libraries o Assist Project Manager with tracking and assembling loan draw packages for submittal to agencies for loans such as GEFA (Georgia Environmental Finance Authority) and CWIFP (Corps Water Infrastructure Financing Program).

Reporting:

o Support the Task Lead in preparing status reports for submittal to client. This includes but may not be limited to, monthly and weekly reports.

Minimum Requirements:
  • At least 2 years’ of total experience performing administrative functions, with experience on construction projects.
Preferred Qualifications:
  • Associate degree in business or related field.
  • Experience with Cityworks and SharePoint preferred
  • Strong experience with the Microsoft Office apps, especially Excel, Word
  • Capable at learning and using new software

$68,000.00 – $75,000.00 per year
