Job Description
Overview Kimley-Horn is looking for an Administrative Assistant to join our team in Atlanta Midtown, GA! This is an in-office role. Responsibilities Working at the front desk, answering the phone, greeting visitors and clients Assisting with producing plans, project manuals and reports (copying, printing and/or scanning documents) Creating and modifying documentsManaging calendar of shared office resources including conference rooms Ensuring that staple supplies are stocked, putting in special supply order requests Coordinating various building maintenance activities with property management company Coordinating large gatherings of out-of-town office visitors, including facilitating multiple catering orders, conference room set up and break down Coordinating internal and external meetings as requested Coordinating travel for practice as requested Completing monthly expense reports Managing Fed Ex/UPS/USPS including ordering/printing postage and mailing supplies as needed; making labels; picking up the mail and distributing it; managing interoffice and other outgoing mail Scheduling and arranging courier services Managing various office-wide publications and subscriptions Providing other administrative support to project managers and team members as needed Qualifications 4+ years in a corporate/professional environment in an Administrative role Strong verbal and written communication skills (grammar/proofreading) Strong proficiency in MS Office Suite Professional, organized, client-oriented, and deadline driven Proven ability to maintain confidentiality Able to anticipate needs and manage competing priorities Positive team player with commitment to quality Self-starter who can thrive in an environment where leaders often travel off site serving clients Contract management and billing experience preferred Graphics and PowerPoint skills preferred Why Kimley-Horn?
