The Administrative Assistant provides essential support to the Director and school operations by managing front-office duties, coordinating communication, maintaining records, and ensuring a high level of professionalism in all interactions with families, staff, and external partners. This role is ideal for someone who is organized, detail-oriented, and thrives in a fast-paced, child-centered environment. Duties Serve as the first point of contact for families, vendors, and visitors; provide a warm, professional welcome at all times Manage phone calls, emails, and general inquiries with clarity, efficiency, and discretion Assist with student enrollment processes, including form collection, documentation tracking, and CRM data entry Maintain accurate student and staff records in accordance with licensing and organizational requirements Support scheduling, coordination, and logistics for events, tours, meetings, and professional development Assist with billing inquiries, tuition follow-ups, and administrative aspects of financial documentation Prepare internal and external communications, including letters, emails, flyers, and newsletters Coordinate staff attendance records, time off requests, and assist with onboarding documentation Order and maintain inventory of office and classroom supplies Provide general administrative support to the Director and teaching teams as needed Requirements High school diploma or equivalent required; associate?s or bachelor?s degree in business administration, education, or a related field preferred Minimum 2 years of experience in an administrative, front office, or customer service role?preferably in a school or childcare setting Exceptional organizational and communication skills Strong proficiency with Microsoft Office Suite, Google Workspace, and basic database entry Ability to maintain confidentiality and exercise discretion Friendly, proactive, and professional demeanor Must pass background checks in accordance with Georgia DECAL regulations Nice To Haves Experience with childcare management systems (e.g., Procare, Brightwheel, ChildcareCRM) Familiarity with Georgia child care licensing requirements Interest in science and STEM education values Benefits Competitive hourly wage or salary, commensurate with experience Paid time off and holidays Supportive, mission-driven work environment Professional development opportunities Opportunity to work alongside an innovative early childhood education team shaping the future of learning
