Full Job Description Position Overview:

We are seeking a detail-oriented, proactive Administrative Assistant to support our facilities, real estate, and legal coordination functions. This role is essential to the day-to-day efficiency of clinic operations, helping manage documentation, scheduling, and communications across multiple properties and legal services.

Key Responsibilities:
Legal Coordination Support:

Schedule depositions between physicians and attorneys Coordinate Zoom links and conference calls for virtual meetings Track and organize physician legal work (narratives, questionnaires, life care plans) Maintain calendar preferences and availability for physicians

General Administrative Tasks:

Maintain business license renewals Monitor and follow up on outstanding items or deadlines Respond to emails and inquiries related to facilities or legal coordination Perform general clerical duties as needed Assist with travel reservations

Facilities & Property Support:

Maintain updated vendor contact lists Coordinate utilities setup and cleaning services for all clinic locations Help maintain property-related records and files Schedule service requests and follow up with vendors as needed Pick up / distribute incoming mail Provider / Credentialing Track CME for each provider to ensure state licensing requirements are met. Assist with new state licensing packets/renewals to ensure documents are in order. Assist with reaching out to providers to obtain necessary information for licensing. Assist with hospital credentialing applications Help maintain licensing files – filing & auditing to ensure they remain up to date

Qualifications:
