PURPOSE OF POSITION AND REPORTING RELATIONSHIPS
Responsible for providing administrative support to the HR Director and the operations team.
REQUIREMENTS
(Education, Experience, Skills, Abilities) Education A high school diploma/GED equivalent is required for this position. Experience A minimum of one year of experience in office administration is required. Skills, Knowledge & Abilities This person must possess above-average written and oral communication skills. Basic skillset utilizing computer programs such as Excel, Word, and Outlook is required. Must be able to multitask while efficiently prioritizing.
ESSENTIAL COMPONENTS
Responsibilities Answer phones and direct callers to the appropriate department(s). Provide general support to visitors. Collect and distribute daily mail. Responsible for ordering and maintaining office supplies, coffee service, copier supplies, etc. Responsible for submitting all maintenance requests for the office. Cross-train with other departments to provide backfill support as needed. Assist the HR manager with the company’s internal rewards and recognition program. Assist the HR manager with the company’s birthdays & and tenure program. Coordinates with the HR manager and operations team to gather information and produce a monthly newsletter. Coordinate planning events throughout the year, such as Christmas parties, sub-appreciation picnics, cookouts, and other employee/sub-related events. Ordering supplies for office events Coordinate and assist in planning corporate retreats. Produce or assist in other projects and areas as needed. Help with screening resumes and setting up interviews. Assist in filing applications for plumbing licenses. Update and maintain trackers and certifications for HR.
Coordinating HR activities:
Training, open enrollment, health screening, etc. Relationships with Others Works in a supportive and collaborative manner with administration/management. Demonstrates the ability to interact professionally with other Hallway Plumbing employees. Demonstrates the ability to interact professionally with external contacts. Coordinates with all other employees in a manner that maximizes overall business effectiveness. Physical Demands Lifts 25 pounds from the floor to waist level and can carry such objects for at least 50 feet. Judgment & Decision Making Demonstrates good judgment and reasoning regarding the daily administration of all functions and activities associated with this position. Demonstrates good judgment in providing information and advice regarding top priorities and important issues. Demonstrates good judgment regarding escalating issues, which are beyond the scope and control of this position promptly. Demonstrates good judgment in respecting the confidentiality of customer and company information. Seeks guidance and direction from appropriate members within the organization as may be required in performing responsibilities and duties. Planning & Time Utilization Consistently demonstrates the ability to recognize and deal with priorities related to high-level administrative activities and duties. Use available time wisely and productively during any workday to maximize work efficiency. Spends reasonable additional time beyond regular working hours as may be required to meet project demands. Reads, responds to, and takes action daily on all emails received.
