Job Description:
We are seeking an organized, reliable, and motivated Administrative Scheduler to join our team. As an Administrative Scheduler, you will play a key role in ensuring that our clients receive timely and consistent services. You will work closely with our clinical team to manage appointment scheduling, coordinate staff availability, and provide excellent customer service to clients and families.
Responsibilities:
Manage scheduling for ABA therapists, behavior analysts, and other clinical staff. Coordinate with families to schedule initial and ongoing appointments based on therapist availability. Ensure efficient scheduling of assessments, therapy sessions, and meetings. Maintain up-to-date records of scheduled appointments and cancellations. Communicate with clients, families, and staff regarding schedule changes and appointment reminders. Assist in coordinating client intake processes, ensuring that all required documentation is collected. Assist with the onboarding process of new employees Handle phone calls, emails, and other communications in a professional and timely manner. Maintain and organize client and staff scheduling records in our scheduling software (e.g., CentralReach). Provide administrative support to the clinical and operations teams as necessary.
Qualifications:
High school diploma or equivalent required (Associate’s or Bachelor’s degree preferred). Previous experience in scheduling or administrative roles, preferably in a healthcare or therapy-related environment. Strong organizational skills with the ability to manage multiple tasks and priorities. Excellent verbal and written communication skills. Comfortable using scheduling software and other office tools (experience with CentralReach or similar platforms is a plus). Ability to work effectively with families, clients, and a diverse team of professionals. Strong attention to detail and commitment to confidentiality.
Preferred Qualifications:
Experience in an ABA therapy setting or working with individuals with special needs. Knowledge of healthcare or therapy scheduling practices and insurance procedures.
