What You’ll Do As a Administrative Assistant, you will directly contribute to LifeLink’s life-saving mission. Performs administrative and secretarial duties of a complex and confidential nature in support of the Public Affairs Department and Multicultural Donation Education Program .

Key Responsibilities:

Serve as front line contact for the public, responsible for answering phones, providing general public education information and answering questions. Provide operational scheduling and clerical assistance to the Public Affairs staff, including interacting on any special projects assigned. Provide and update trending reports, data entry and other organizational requirements. Participation in and recording and transcription of minutes of departmental meetings. Maintain inventory and ordering of supplies used for public education. Participate in volunteer program, including welcoming and coordination of meetings, scheduling volunteer participation in public education activities, including listing, filling, providing supplies for and following up after events and opportunities. Research/run reports and statistical information in the Volunteer Management System, state donor registries or other current data systems. Assist with coordination and creation of presentation materials. Maintain media calendar, assist in maintenance of dashboard and contribute to the monthly report. Project assistance, including off-site participation as requested. Participate and facilitate planning and execution of departmental or other meetings as directed. Assist with orientation of new staff. Coordination and communication with staff daily regarding their itinerary; telephone messages and mailbox correspondence in order to update PA staff in the field regarding any emergent situations. Interact with LLGA and LLPR PA staff and support staff to complete projects or share ideas. Prep and coordinate large mailings. Who You Are Passionate about helping others and making a difference Aligned with LifeLink’s core values of Compassion, Excellence, Legacy, People, and Quality Related college courses and/or Advanced Secretarial Certifications plus a minimum one year experience as an Administrative Assistant or equivalent experience of two to four years. Bi-lingual desired, but not required. Professional demeanor, appearance and attitude at all times. Demonstrated written and verbal communication skills, with an emphasis on composition, grammar and punctuation. Professional telephone presence, protocol and follow-up. Proficient with Microsoft Office and other related software (Excel, PowerPoint). Ability to meet deadlines, prioritize, multi-task and organize workflow. Demonstrated proactive, positive and professional interpersonal skills – a flexible team player. Demonstrated punctuality and attendance record and availability for after-hours work when requested to do so. A collaborator who thrives in a mission-first environment. Why LifeLink?
