Administrative & Office Assistant (Spanish speaker needed) Building Maintenance Firm Duluth, GA 30096 Overview We are seeking a motivated and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing essential clerical support and managing various administrative tasks. This position requires strong organizational skills, proficiency in Microsoft Office platforms, and the ability to communicate effectively with both staff and clients in Spanish and English. Main Duties
- Invoice Processing, payroll processing, & AP/AR
- Assist office staff with administrative and inter-office tasks
- help organize files, maintain records, and general upkeep of office related functions Duties Manage phone systems, including answering calls, directing inquiries, and taking messages as needed.
Perform clerical tasks such as filing, data entry, and maintaining organized records. Utilize Microsoft products to create documents, spreadsheets, and presentations. Assist with office management duties to ensure a well-functioning work environment. Provide support for scheduling meetings and coordinating appointments. Serve as a point of contact for clients, demonstrating professionalism and courtesy. Maintain confidentiality of sensitive information while managing files and records. Support the team with various administrative projects as required: light bookkeeping, scheduling, and general tasks to support the corporate staff. Qualifications Proficiency in Microsoft Office; familiarity with other office software is a plus. Experience with phone systems and excellent verbal communication skills. Strong computer literacy with the ability to quickly learn new software applications. Previous experience in a clerical or administrative role is preferred; experience as an office administrator is advantageous.
