The ideal candidate will play a crucial role in providing exceptional customer service and administrative support to our members and staff team. This position involves managing front desk operations, assisting with data entry, and ensuring that all member inquiries are handled efficiently and promptly. A strong focus on customer satisfaction and the ability to work collaboratively in a fast-paced environment are essential. Duties Greet and assist members and visitors at the front desk, providing a welcoming atmosphere. Manage the senior pastor’s calendar by scheduling appointments, appearances, church meetings, and speaking engagements as needed. Handle member inquiries via phone, email, and in person, ensuring prompt and courteous responses. Manage the next-step and membership intake process by updating attendance records, tracking first-time and repeat guests, recording baptisms, gathering new member information, and preparing end-of-year reports. Serve as database administrator for Realm, the church management system, to assist staff and members with reports and navigation. Collaborate with the Pastor of Congregational Care to submit weekly or daily prayer requests to the Prayer Team Coordinators. Serve as secretary to staff meetings and receptionist to greet individuals who call or visit the church, assisting or directing them to the appropriate person to meet their needs. Support the ministries that provide care to members, such as the Prayer Ministry and Forget-Me-Not Ministry. Collaborate with team members to streamline processes and improve operational efficiency. Qualifications Previous experience in a front desk or customer service role is preferred. Prior experience in working under the demands of a church staff team, remaining flexible, resourceful, and efficient with high professionalism, trustworthiness, and confidentiality. Possess an innate curiosity with a “problem solver” attitude and demonstrate learning ability. Excellent administrative skills with the ability to review correspondence for procedural and grammatical accuracy. Ability to prioritize and multitask on projects and assessments while utilizing practical time management skills. Proficiency in Word and Excel, and a willingness to learn our church management system and database. Ability to work independently as well as part of a team in a dynamic environment. Prior experience as an administrative assistant or clerk is advantageous.
