Job Summary
The Coordinator for the Office of the President provides office management, coordination and administrative support for the daily operations of the President’s office including related units such as Audit, TItle IX, and Chief of Staff. The incumbent is frequently exposed to, and deals with, sensitive and/or highly confidential material.
The responsibilities of the Coordinator require the ability to organize, prioritize, and triage while being proactive and anticipating outcomes. The position is a vital member of a team that responds to internal and external situations, institutional and USG system office leaders, students, employees and the public.
Responsibilities
Collaborates with other staff members in the Office of the President to manage the daily operations of the President’s office and provide front office coverage
Serves as lead in maintaining and reconciling multiple budgets; prepares a monthly report for budget managers; processes office invoices and payments through payment requests, purchase requisitions, foundation requests, and credit card payments; this position will also serve as a P-Card holder.
Coordinates travel related arrangements for the President and staff members, including prior approvals, registration, airline reservations, car rentals and hotel reservations; prepares travel and expense reports for the President and staff for reimbursement
Assists with planning various activities and events involving constituencies of the President and/or staff members, including monthly president¿s luncheons with staff, students, and faculty
Provides administrative support and assistance to the Office of the President, including making appointments, scheduling meetings, and preparing correspondence, presentations, and charts
Maintains office files in accordance with best practices in document retention and destruction guidelines
Places, answers, screens, and directs telephone calls, providing information or referrals
Maintain and order all office supplies
Perform other duties as assigned
Required Qualifications
2 Year / Associate Degree
3 or more years of relevant experience
Preferred Qualifications
Five years progressively responsible administrative support experience or equivalent combination of education and experience
Knowledge, Skills, & Abilities
Knowledge of, and advanced skills in, the use of computers in a Windows environment (Word, Excel and PowerPoint)
Ability to be self-motivated and detail oriented
Skills in verbal and written communications
Skills in organizational and time management
Ability to respond to various situations, and individuals, in an accurate and calm manner
Ability to make decisions under pressure without immediate supervision
Ability to quickly assess needs and requirements of individuals entering the President’s Office
