Position Summary:

The primary function of the office assistant is to assist with administrative and clerical tasks. This position will provide support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Duties & Responsibilities:

Perform all tasks with the highest level of integrity and confidentiality. Order all offices supplies, drinks and snacks Receive all deliveries and direct to the proper place. Assist with ordering lunches for meetings Type memos and basic computer work. Answer, screen, and direct phone calls accordingly. Take full and complete messages and deliver to appropriate personnel. Copy and file documents as requested. Assist in maintaining current files. Distribute and deliver mail or documentation. Assist with special projects. Greet visitors and assist as needed. Work to complete projects as requested and in a timely manner. Perform other tasks as assigned.

Basic Qualifications:

High School Diploma or equivalent Knowledge and use of general office administration/management practices and equipment. Demonstrated proficiency working with Microsoft Office products (i.e., Word, Outlook, Excel) Strong verbal and written communication skills Ability to proactively problem-solve, make decisions, anticipate next steps, implement solutions and monitor progress for multiple projects. Strong organizational, analytical, prioritization, time management and calendar management skills

Physical Requirements:

Must be able to remain in stationary position in an office environment: 70% Will frequently move about inside the office to access files, office machinery, etc. Must be able to operate basic office machinery. Must be able to communicate with team and management and be able to exchange accurate information in these situations.

Must be able to problem solve and prioritize tasks. Must be able to manage stress depending on deadlines and ongoing projects. Must be able to multitask. Must be able to receive and analyze information. Must be able to quickly communicate solutions if problems occur. Must be able to demonstrate a high degree of sound judgement and initiative.
