Saturdays Position Summary:

The Office Assistant plays a vital role in ensuring smooth day-to-day front desk and administrative operations at the Lawrenceville-Suwanee School of Music. Reporting to the Manager or Assistant Manager, this role provides exceptional customer service to students, parents, and staff, while maintaining a welcoming and organized environment. This is a great opportunity for someone who is detail-oriented, personable, and eager to grow with a fast-paced, student-centered organization. Key Responsibilities1. Front Desk Support Greet students and families warmly and professionally. Answer and direct phone calls; take accurate messages. Maintain a clean, safe, and welcoming lobby environment. Alert the Manager or Assistant Manager to any visitor needs. 2. Safety & Student Oversight Supervise students in the lobby to ensure safety and respectful behavior. Ensure that students under 13 do not exit the building unattended. Report any safety concerns or behavioral issues to senior staff. 3. Paperwork & Filing Organize and file documents such as enrollment forms, attendance records, and withdrawal requests. Prepare folders and welcome packets for new students. Assist with scanning and digitally organizing files. 4. Administrative Support Restock front desk materials, flyers, and supplies as needed. Run internal errands (e.g., delivering paperwork, checking classrooms). Assist with setup for events, seasonal decorations, and promotions. 5. Communication Assistance Contact parents to confirm appointments or share event reminders (with supervision). Use communication templates for calls, emails, and text messages. Maintain a professional tone in all parent and customer interactions. 6. Team Collaboration Work closely with the Manager and Assistant Manager to meet daily priorities. Take initiative but communicate regularly for clarity and alignment. Support a positive, respectful, and team-oriented work environment. Additional Responsibilities Host and support online virtual lessons via Zoom. Assist with scheduling lessons and updating calendars. Provide high-level customer service and support to over 60 instructors. Handle light retail sales and enrollment of new students. Create flyers, distribute memos, and manage social media updates (Facebook, Instagram). Perform light office cleaning duties (e.g., vacuuming, emptying trash). Conduct follow-up calls and assist with soft sales for prospective clients. Ideal Candidate Qualifications Friendly, enthusiastic, and dependable Strong organizational and multitasking skills Comfortable with soft sales and engaging with families Tech-savvy with strong computer and social media skills Coachable, detail-oriented, and proactive Prior office, sales, or customer service experience is a plus Experience in music or education environments is a bonus (not required) This is not a temporary position.
