As a Project Administrator, you will be assisting our project managers in organizing our ongoing projects. This task involves monitoring project plans, schedules, work hours, budgets, and expenditures, and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner. To be successful as a Project Administrator , you are responsible for adhering to the Company policies and project plans, writing status reports, and conducting cost expenses analysis. Also support to identify opportunities to improve project workloads and adjust procedures as necessary to meet the highest goals and objectives. You will need to be able to work on tight deadlines, be competent in using Microsoft Office applications such as Word and Excel, and have exceptional verbal, written, and presentation skills. The primary responsibilities and duties include but are not limited to:

  • Responsible for ensuring the accuracy of all aspects of order and purchasing management for the Fine Pixel Pitch (FPP) division
  • Responsible for ensuring that all new orders are entered in the ERP system consistent with our Clear To Build, Clear To Install, and Clear To Service systems.
  • Assist with procurement activities, purchase requisitions for all new orders, and resource management.
  • Track project progress and update project calendars.
  • Assist in budget tracking and managing project expenditures.
  • Coordinate with the Inventory team to assess inventory levels for the FPP products.
  • Provide support to our technical project managers on all materials needed for our clients.
  • Invoicing all FPP projects in Dynamics and ensuring all FPP project dates in the system are managed.
  • Acting as a Back-Up Order Administrator to support the outdoor digital department.
  • Act as the point of contact for all project participants.
  • Assist FPP Project Manager in maintaining project schedules, work hours, budgets, and expenditures.
  • Attending, and participating in stakeholder meetings.
  • Ensuring project deadlines are met.
  • Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project.
  • Create a project planning calendar for fulfilling each goal and objective.
  • Providing administrative support as needed.
  • Additional responsibilities and duties as assigned.

Requirements /

Qualifications:
Academic Training:
  • Associate’s degree or higher education in Accounting or Business Administration or a related field of study or equivalent.
High School Diploma Work Experience:
  • 5 years of administration work experience
  • 2+ years of relevant work experience is an asset.
  • Experience in Microsoft Dynamics or other ERP system is an asset.
  • Experience in a manufacturing environment is an asset.
  • Experience in a highly technical field is an asset.
  • Experience in the LED Display field is an asset.
