Our goal is to help clients achieve their long-term retirement planning objectives. We believe every client should have someone with honesty, integrity and a commitment to help make their retirement planning simpler and less complicated. Due to growth, we are seeking an Administrative Assistant to add to our team. This person will provide comprehensive support across office operations, client services, and administrative services. This role is responsible for answering phones, greeting clients, filing, data entry in CRM, uploading documents and ensuring smooth business workflows. The Associate will play a key role in building strong client relationships and resolving issues efficiently. Primary Duties
- Providing support to all office activities. Being the first face and voice of the company as clients call in and come in for appointments. Handling customer inquiries and concerns, managing client records and updating databases. Assisting with administrative tasks such as account maintenance and paperwork. Helping to ensure smooth operations and build strong client relationships.
- Communicating effectively with clients and internal teams, both verbally and in writing. Identifying and resolving client issues in a timely and efficient manner. Adhering to company policies and procedures as well as regulatory requirements.
- Assisting Client Services Manager to ensure speedy and accurate funding of new client accounts and existing client adds. This includes problem solving, client engagement, and effective handling of financial institutions. Keeping accurate and up to date reporting on funds.
- Managing Client book of business year-round from annual review to client engagement and support; engaging the firms licensed agent whenever needed/appropriate to ensure client’s needs and compliance requirements are being met.
- Expand job knowledge by participating in educational opportunities.
- Assisting Events and Scheduling Department with corporate functions as needed. Attend and participate in Client Events. Build rapport and continue to maintain excellent client relationships.
- Performing any other tasks as required for the successful operation of the firm. Requirements
- At least one year of experience as an administrative assistant, preferably in a sales, insurance, or event coordinating environment.
- Some experience working directly with clients is required.
- Proficient with Microsoft Word, PowerPoint, Excel, and Microsoft Suite.
- Any experience with Customer Relationship Management (CRM) software to track and maintain client information a plus
