Job Description:
To provide customer service and bookkeeping support of the day-to-day business of Sierra International. This position is responsible for supporting all facets of the front office including answering phone, bookkeeping, customer service and operational support. The Administrative Assistant will report directly to the company CFO with interaction with customers, suppliers, freight brokers/carriers and Independent Sales Representatives on a day-to-day basis.
Job Responsibilities:
- Answer incoming calls from customers, suppliers and general inquirers.
- Process and maintain customer orders in Quickbooks; providing confirmations to customers in accordance with company policy
- Input vendor invoices and credit card charges into Quickbooks in a timely manner. Maintain vendor files.
- Support customer billing & collection process including the issuance of invoices / customer statements and make phone calls as needed to ensure payments are received timely.
- Generate quotes and estimates for customers as needed based on guidance from CFO
- Coordinate shipping and receiving of product; working with operations team, freight brokers/carriers and suppliers to ensure orders are delivered timely to Sierra customers
- Manage Production Reporting, working with Operations to ensure all finished goods are recorded in Quickbooks timely and included in monthly reporting package for management review.
- Assist CFO with Physical Inventory Count on a monthly basis
- Coordinate quality testing of finished goods (paper cups)
- Assist the CFO with miscellaneous projects including response to bid opportunities
- Maintain a working knowledge of all products and services offered by Sierra International
- Help to maintain a clean and organized front office
- Other administrative duties and tasks as required
Minimum Qualifications:
- 1-3 years of administrative/office or bookkeeping experience.
- Previous experience with customer service and vendor interaction required
- Experience with Microsoft Excel and Quickbooks is a plus
- HS diploma or GED required. Associates Degree a plus
- Foreign language is a plus
