JOB SUMMARY:

This position is responsible for support to management in various functions of the City of Dawson, including but not limited to, record keeping, bookkeeping and accounting, inventory management, record keeping, and public relations.

GENERAL RESPONSIBILITIES

Provides administrative support and processes a variety of documentation associated with department operations within designated timeframes and per established procedures. Performs office management functions; assists in coordinating daily activities and monitors status of projects/workflow and troubleshoots problem situations; works to independently resolve problems and initiates appropriate action/response. Provides secretarial/administrative support for management as needed; relieves management staff of routine administrative tasks; screens telephone calls, mail, and other communications and initiates appropriate action/response; types, composes, edits, or proofreads various documentation. Answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; initiates and returns calls as necessary. Performs customer service functions in person, by telephone, and by mail; provides information/assistance regarding City services, procedures, fees, or other issues; responds to routine questions or complaints; researches problems/complaints, initiates problem resolution, and performs follow-up to ensure necessary action is taken. Performs data entry functions by keying data into computer system; enters, retrieves, reviews or modifies data in computer database; verifies accuracy of entered data and makes corrections. Maintains file system of various files/records for the department; prepares files, organizes documentation, and files documents in designated order; retrieves/replaces files. Operates a personal computer, general office equipment, motor vehicle, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, desktop publishing, e-mail, Internet, or other computer programs; performs basic maintenance of computer system and general office equipment, such as backing up data or replacing paper, ink, or toner; coordinates service/repair activities as needed. Support citywide initiatives and interdepartmental projects Assist with community engagement activities and communication Assist with city property rentals and event programming logistics Support procurement, vendor communications, and inventory tracking Participate in grant-related application, data collection, and reporting Coordinate department-level training records and compliance documentation

DEPARTMENTAL RESPONSIBILITIES

Track inventory and maintenance schedules for streets, gas, water, and sewer Assist with public works service request tracking and follow-up Coordinate with vendors for infrastructure materials and repairs Support field data collection and documentation for city assets Maintain project files related to capital improvements and repairs Performs other duties as assigned or required

SUPERVISORY CONTROLS

The City Manager assigns work in terms of departmental goals and objectives. Work is reviewed through conferences, reports, data collection, and observation of departmental activities. The Lead Administrative Assistant provides direct supervision.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

This position has no supervisory or management responsibilities.

MINIMUM QUALIFICATIONS

High school diploma or GED; supplemented by college level course work or vocational training in office administration and personal computer operations; supplemented by three (3) years previous experience and/or training that includes office administration, administrative/secretarial work, basic bookkeeping, customer service, data entry, personal computer operations, and experience in department/area of assignment; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Operation of a motor vehicle requires possession and maintenance of a valid Georgia driver’s license. This class specification should not be interpreted as all inclusive. This is a temporary, part-time position with a maximum duration of 12 months. Continued employment beyond this term is not guaranteed and will be subject to organizational needs and funding availability.
