Administrative Assistant Cynthia D. Brooks, CPA, APAC Shreveport, LA 71105 Overview We’re looking for a motivated and detail-oriented professional to serve as our Administrative Assistant — the front-line connection between our clients and our team. This role is essential in ensuring the smooth operation of our office by providing administrative support and managing various clerical tasks. The ideal candidate will possess strong organizational skills, proficiency in relevant software, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Client Interaction & Scheduling Greet and welcome clients in a professional and friendly manner. Coordinate and schedule appointments for tax and advisory services. Ensure all clients are booked efficiently, especially during peak seasons. Communication Management Answer and screen incoming calls, directing urgent matters appropriately. Manage the team’s shared inbox and forward or respond to client inquiries. Client Onboarding & CRM Maintenance Assist with onboarding documents (engagement letters, contact forms, etc.). Maintain and update client information in the CRM system, including notes, tasks, and contact changes. Administrative Operations Organize and maintain both paper and electronic files; scan and shred as necessary. Handle incoming and outgoing mail daily. Track and restock office supplies and materials. Support tax season operations by reviewing documentation and creating corresponding tasks in the workflow system.
Qualifications:
Prior experience in an administrative or client services role (CPA, legal, or healthcare office preferred). Strong attention to detail and organizational skills. Professional communication skills—verbal and written. Proficiency in Microsoft Office (Outlook, Excel, Word); experience with CRM or tax software a plus. Ability to multitask, prioritize, and stay composed in a fast-paced environment.
