PM Position Overview:
We are seeking a reliable and highly organized Administrative Assistant for a company in Grand Cane, LA . This role plays a key part in ensuring daily office functions run smoothly while fostering a safe and professional work environment. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced setting.
Key Responsibilities:
Champion a strong safety culture by promoting safe work practices and attending regular safety meetings and trainings. Maintain a clean, safe, and organized office environment; order office and breakroom supplies; coordinate basic maintenance needs. Greet visitors and field incoming calls professionally, directing them as needed. Manage incoming and outgoing mail and packages. Provide administrative support to technicians, supervisors, vendors, and various internal departments. Coordinate and communicate across diverse teams and departments efficiently. Meet deadlines and ensure timely follow-ups on all assigned tasks. Update and improve reports, spreadsheets, and data charts on a daily, weekly, and monthly basis or as needed. Assist with work order processing, invoice coding, account reconciliation, and preparation/tracking of Capital and O&A budgets. Support fleet management functions, including GPS installations, inventory tracking, vehicle registration, and reporting. Maintain organized office records and correspondence (both physical and electronic), including filing, scanning, and archiving. Coordinate with Houston-based IT for tech equipment support, such as phone replacements and setups. Assist Houston HR with onboarding new hires, regulatory compliance, and maintaining required postings. Help schedule and organize meetings, including off-site coordination, presentation support, and note-taking. May assist with monthly tank gauge reports, measurement close procedures, and compiling/reporting field inspection records for regulatory filings. Serve as a backup for other administrative staff and help train new hires in administrative roles. Perform additional duties as assigned by management.
Qualifications:
Proven administrative or office coordination experience Strong communication and organizational skills Proficiency in Microsoft Office (Excel, Word, Outlook) and digital file management Ability to multitask and prioritize effectively Self-motivated with strong attention to detail Previous experience in safety-conscious or industrial environments is a plus Must be dependable, punctual, and able to maintain confidentiality
