QUALIFICATIONS
High school graduate or equivalent diploma. Three years experience in an office setting, preferably in healthcare.
SPECIFIC RESPONSIBILITIES AND DUTIES
Administrative Assistant Responsibilities:
Responsible for answering telephones, taking inquiry calls, and directing calls to appropriate staff or taking messages when staff is unavailable. Organizes office operations and procedures. Coordinates inventorying, ordering, and stocking of clinical and office supplies as directed by the Program Director Ensures compliance with agency policies and procedures. Responsible for typing documents, letters, etc. as needed. Maintain office equipment and secure vendors for repairs and maintenance as needed. Coordinates and routes client transportation in conjunction with Contract Transportation Company. On call to route transportation changes after hours. Calls clients who are absent from program to find out reason for nonattendance and reschedule the client for a make-up day. Monitors efficiency of Contract Transportation and communicates with Contract Transportation manager to ensure clients are arriving to the clinic on time each day. Responsible for responding to medical record requests for the facility. Responsible for the Census Spreadsheet and reconciling billing for the facility. Assist Program Director with other office functions as requested. Demonstrates teamwork by carrying out routine and assigned tasks within the Beacon program. Assists in provision of maintaining a safe and therapeutic milieu by monitoring compliance with program rules, aiding with security and supportive manpower by assisting in control of patients who exhibit unacceptable behavior. Assists with patient care tasks. Performs clerical duties and chart audits related to support of the Program Director. Displays flexibility and willingness to help others, identifies and offers solutions to problem, vision, foresight, and customer sensitivity Performs job with efficiency necessary to complete assignments within established time. restraints and procedural guidelines.
