More information about this job Overview The Administrative Assistant will perform a variety of administrative and clerical tasks and provide support to supervisors, co-workers, and employees. Will assist in carrying out daily office needs and manage general administrative activities in order to facilitate efficient operation of their division. Responsibilities •The following are intended as general illustrations of the work in this job class and are not all-inclusive for this position. Answer and direct phone calls Write and distribute email, correspondence memos, letters, faxes and forms Schedule and organize meetings, travel, conferences, and department activities Utilize software including Viewpoint and PVault, including data entry Assist in the preparation and delivery of regularly scheduled reports Maintain an efficient filing system Scan business related paperwork into imaging system and attach/index into proper file Process ingoing and outgoing mail Qualifications Physical Occasionally required to lift up to 25 pounds Regularly required to talk or hear Frequently required to walk, sit, and reach with hands and arms Subject to repetitive use of hands/arms Occasionally required to stand, stoop, kneel, crouch, bend, use hands and fingers to handle and feel Vision requirements include close vision, distance vision, and ability to adjust focus Will need to be able to perform sedentary work Mental Must have the ability to direct others and communicate effectively with other management/ supervision Talking and reading & writing comprehension is necessary for giving and receiving directions to perform work and/or safety policies Ability to use math/complete calculations Must be able to concentrate amid distractions and remember details Must have attention to detail and problem solving skills Ability to use computer, keyboard, telephone and other office devices Ability to hold information in strict confidence
