Position Overview:

We are looking for an enthusiastic, detail-oriented, and highly organized Front Office Coordinator to join our team. This role is key to the efficient operation of our office as you will be the first point of contact for clients and prospects. The ideal candidate will have a friendly and welcoming personality with excellent communication skills and the ability to manage multiple tasks at once. As Front Office Coordinator, you will handle scheduling, client interaction, office organization, and support for team projects and special events. We have a few nights per month where we work an event/seminar. These usually last until 9pm and are on a week night. Please do not apply unless you can attend those.

Key Responsibilities:

Manage daily office operations, including scheduling appointments and coordinating meetings. Greet clients and prospects with a warm and professional demeanor. Answer and direct phone calls, taking messages as needed. Organize and maintain both physical and digital files and records. Prepare and edit correspondence, reports, and presentations. Assist with bookkeeping and maintain office supplies inventory. Provide support for team projects and help organize special events each month. Perform other administrative duties as assigned.

Qualifications:

High school diploma or equivalent; additional qualifications as a front office coordinator or in a related field preferred. Proven experience in an administrative or front-office role. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Ability to multitask, prioritize, and manage time effectively. A proactive attitude and the ability to work independently. Strong interpersonal skills with a focus on customer service.
