In-Office Expectations:

As Administrative Personnel are the “home base/point person” to our various Programs/Ministries/Catechists/Volunteers, it is the expectation that you will be in the office for your stated hours (listed above). When time off is necessary, please discuss coverage with the Office Manager. Volunteer vs. Employee

  • Make all Staff/parishioners/ministry leaders feel that they have the administrative support necessary to run their Programs/Ministries to the highest St. Gabriel standards
  • Make all that enter our doors feel welcome, heard, and assisted
Duties:
  • Working knowledge of the following office processes: o How to open office o Answering phones o Opening and distributing mail o Food Pantry list of jobs o Helping and answering questions at the window o Keying contribution envelopes as assigned by the Business Office o Copies and other administrative duties as requested
  • Working knowledge of the following office processes (Admin 2): o Learn and help maintain the new database (summer of 2025) o Ministry Leaders copies/assistance as needed o Calendar requests o Check lock box Monday, Wednesday, and Saturday o Flyers found on Z drive printed and hung in church and on doors o Proof weekly bulletin o Gift card process o Permanent Sacramental books into the new database o Welcome packets prepared  This includes the updating of the folders for quarterly Pillars publication o Welcome Committee one month out letters o Prepare and save to the Z drive duplicate Sponsor Certificates o Prepare and save to the Z drive duplicate Baptism Certificates o Reconcile petty cash o Submit payroll for any priest (i.

e. currently only Fr. Sweaney) o Mail bulletins to those that are homebound

  • Saturday o Other duties as requested by Office Manager/Parish Staff o Funeral in take sheet
  • Working knowledge of the following office processes (Admin 1): o Admin 1 is responsible for opening the office on a daily basis o Record Sacraments (funerals, weddings, baptisms) o Maintain On-Line Mass Intentions o Funeral in take sheet and booklets o Prepare and send weekly bulletin to LPi o Send email at the end of the previous week for bulletin cover reminders o New parishioner forms into the database o Prayers of the Faithful prepared for the weekend o Distribute bulletins•Friday o Bride’s room o Bulletin holder outside parish office o Visiting priest calendar to Business Office first of each month o Monthly Wedding List o Ordering for parish (this includes parish office, Learning Loft, and Ministries) o Assist Allison week or two prior to “Big Events”•see list attached o Other duties as requested by Office Manager/Parish Staff Duties at the
Parish:
  • Various mailing lists o Pillars o Directory o All Souls Mass
  • Website updates
  • Weekly baptism certificates prepared and make sure all paperwork is ready and complete o Paperwork should be in-house 2 weeks out o Baptism certificates should be created 1 week prior o Send email Fridays to Baptism team for following week’s baptisms  Folders for baptism class will be done by Admin 1 or Admin 2
  • Work with Deacon Bob for those baptisms of older children o Follow ups may be required
  • Work with Deacon Bob, Paula and various team members for Keeping Young Families Connected Events and timeline o This includes mailings and Smores to specific groups throughout the year Duties at the Learning Loft (subject to change upon discussion with the Director of the Loft)
  • Will be at Loft on Mondays
  • On-line registration prepared and sent to Ann for review
  • Sign ups for Open House in January
  • Create class lists/rosters in database
  • Emails from Loft to Day School for emergency newsletters to be sent (i.e., snow days, etc.)
  • Format yearly calendar and add to website
  • Provide Admin 1 with any ordering needs for Learning Loft
  • Phone calls and emails
  • Help Ann keep all staff records up to date in database
  • Send receipts to parents for work credits month and to parents for tax returns
  • Send in maintenance requests as needed
  • Help with registrations, etc., for any Learning Loft Events (i.e. Fall Fest, Bike-a-Thon, etc) Meetings
  • Attend monthly standing meeting with Office Manager Cross Training
  • As requested by Parish Office Review
  • Meet annually with Office Manager for an annual review and job description review o Any additions made to your job duties throughout the year should be brought to this meeting
