General Summary:
This position involves the performance of a range of administrative, operational, and secretarial support to the Trust Department and Branch Customer Service Representatives.
Essential Duties and Responsibilities:
Primary 1. Assistant to IRA and HSA Representative a. Assist in processing IRA deposits and IRA distributions for Trustee and Self-Directed IRAs, including system-wide RMD payments. b. Help with oversight in daily monitoring of
IRA & HSA
deposits and withdrawals and works with IRA/HSA Rep if error is found for corrections and/or maintenance. c. Assist in maintaining all IRA account files system wide. d. Assist in mailing all Trustee & Self-Directed IRA end-of-year tax reporting from Trust Accounting System. e. Keep IRAs updated by monitoring and providing IRA amendments to customers as required by law. f. Assist in verifying accuracy on end-of-year tax IRA and HSA tax reporting on Fiserv’s calendar schedules to ensure timely handling as required by law. 2. Assistant to Trust Administrative Assistant a. Produce and process transactions on the trust accounting system. b. Department Receptionist and Secretarial duties. c. Work with Trust personnel in imaging documents. d. Generate reports to assist in completing the monthly Trust Committee Agenda. e. Daily mail retrieval and delivery to local Post Office. f. Create open folders and pull closed folders for Trust accounts. Secondary 1. Backup Support to Trust Operations a. Posting Transactions – Responsible for checking accuracy of all transactions input into system by staff in accordance with documentation authorizing transactions before posting transactions. b. Monthly statement production via e-mail and hard copy to clients. c. Working with and creating excel spreadsheets for projects. d. Assisting with maintenance for Tribal accounts as received. 2. Backup Support to Trust Administrator and Officer a. Producing and mailing client contact and insurance letters. b. Assist and backup Trust Officers with duties as requested. c. Assist in preparation for trust audits. d. Occasional outings to Trust properties for various reasons.
Other Duties and Responsibilities:
a. Adherence to and support of all compliance and BSA/AML rules and regulations related to this job function. b. Performs other duties that may be assigned by Management.
Education and Experience:
High school diploma with at least three to five years of office work experience. Intermediate to Advanced computer Skills in Word and Excel. Broad knowledge of department/bank operations, policies and procedures. Skilled at operating a ten key number pad, printer and copier are required.

Must possess superior organizational skills, communication skills and capable of making good judgments. Maintain and perform all sales and operational duties using policies and procedures outlined by our Bank. Must have a professional appearance and manner. Ability to handle high pressure and high volume of work with multi-taking capabilities.
Scheduling:
Work schedule will vary depending upon demand but will consist of an 8-hour shift between the hours of 7:45 a.m. – 6:30 p.m., Monday through Friday. Schedule may require occasional overtime may be required. Regular attendance is required.
